Now seeking an AMAZING Full Time Operations Coordinator/ Executive Assistant to join a growing real estate team!

The goal for this position is to perform the daily transaction coordination tasks, ensuring clients are informed every step of the way. The Operations Coordinator will be responsible for creating community events for our past clients and geographical farm area using social media. I am looking to collaborate with someone on pop by gifts, and parties to stay top of mind in our Real Estate market.

I am a primarily solo agent completing 30-40 transitions annually and growing a small team. I am looking for someone with heightened attention to detail to develop systems and processes as I scale my business.

Responsibilities:

Duties include, but are not limited to:

  • Social media marketing management
  • Plan and prepare team events for clients
  • Generate business for team through nurturing sphere of influence
  • Managing database, clients and documenting and refining systems
  • Listing preparation, MLS input, ordering pictures, sign install, lockbox install, emails and communications
  • Take clients from contract to close with weekly communication, prepare contract docs for buyer signature, manage home search for clients, set up appointments, check status and features of properties, provide schedule of showings, run comparable sold properties, draft offer docs, communicate with buyer and lender for pre-qualification
  • Documenting systems and processes and building organization operations manual
  • Provide exceptional customer service throughout the entire closing process, always with a smile.
  • Coordinate inspections, assist in gathering bids and repair estimates, and coordinate completion of repairs
  • Submit all necessary documentation to the office broker for file compliance
  • Follow up with clients after the sale to check-in and request a testimonial
  • Update and maintain all clients records in the company CRM or database
  • Create and implement systems and processes focusing on the creation of more efficient and inexpensive processes that provide consistency, scalability, clarity and customer service
  • Assist in new projects, technology implementation, training, hiring and a variety of other initiatives the team would engage in
  • Purchase marketing materials and client gifts, searching for cost savings opportunities
  • Organize postal mailers and deliver marketing materials to post office monthly
  • Arrange travel plans for team lead

Required Qualifications:

  • Minimum one year of CRM experience
  • Social Media Marketing experience
  • Organized, Enjoys handling details
  • Deadline oriented
  • Loyal and hardworking
  • Can be given tasks, complete them and be self-accountable to others
  • Comfortable in a fast-paced, small business environment where priorities can change quickly
  • Can proactively see issues and growth opportunities in the business and can create and implement solutions
  • Personal vehicle for transportation

Preferred Qualifications:

  • Have an active real estate license in the state of Arizona
  • Experience in Real Estate
  • Canva proficiency
  • Technology savvy

This is a full-time position. The ideal candidate lives in the northern Phoenix/Glendale/Peoria area.

Compensation:

$45,000 - $55,000 yearly

At Team Excellence, we host approximately 6 events per year, including ice cream socials, as well as regular gift pop bys for current and past clients, and provide informational materials about the Real Estate market.

Sheri is the resident Realtor for 4,200 homes in the Northwest Valley that she has created a committed strategy to serving throughout her career.

Sheri is growing a small team and is looking to have someone assist her with the day to day operations and building the infrastructure to grow.

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
