We are seeking a HR Administrator to join our Smartbox HQ HR team. This role is centered around providing administrative support to the successful management of the HR function including end to end employee life cycle processes. Working closely with the wider HR team to deliver on administration, coordination, compliance and delivery. This role collaborates with the wider HR team to optimize people, structure, process, and culture, with the goal of achieving business results.
The main activities included in this role are:
  • Provide administrative support to the HR team, while supporting the delivery of HR advice on day to day employee and manager queries.
  • Prepare contracts, employment letters, Taxsaver ticket orders and respond to general HR queries in a timely manner
  • Assist in the preparation of Employment Permit Applications and maintaining employment permit information on relevant database
  • Help manage employees databases including Workday system updates, updating employees’ personal, job and pay data as and when required ensuring data accuracy and compliance
  • Assist with the administration for leavers and contract terminations including notifying payroll and ensuring and ensure a smooth effective offboarding process
  • Co-ordinate and execute communication and engagement projects.
  • Assistance with employee induction and onboarding/ offboarding programme
  • Undertake specific projects as directed by the HR and management teams.
  • Any other ad-hoc duties as and when required.

  • 1-2 years’ experience in HR support and/ or Recruitment coordination.
  • 3rd level education within a HR discipline is an advantage.
  • Previous experience using Workday, ATS or HRIS preferred.
  • Good understanding and proficiency in HR best practice ensuring strong customer service focus with discretion and confidentiality.
  • Highly organised, strong attention to detail and at ease with changing priorities.
  • Intermediate Excel, PowerPoint and Microsoft Office skills.
  • Team player with superior communication and collaboration skills
