DEPARTMENT DESCRIPTION

UC Davis Fleet Services manages a fleet of vehicles for the UC Davis Campus in Northern California that are assigned and travel throughout the nation. There are approximately 800 fleet- owned vehicles with an acquisition value of over $20 million and another 600 department-owned vehicles, carts, and trailers maintained by Fleet Services. These vehicles are available to support teaching, research, administrative programs and all campus support programs.

JOB SUMMARY

Serve as lead to operations staff and students for UC Drive, Fuel, Rental and Dispatch Operations, Reservations, Vehicle Assignment, Commercial Rental coordination, Customer Service, Berkeley/Davis Shuttle Operations, Student and staff scheduling and training. Independently handle the coordination, assignment scheduling, of various types of vehicles. Responsible for UC Drive, the disposition of vehicles, parking/toll ticket resolution; creating and maintaining various metrics; reserve and dispatch vehicles for Fleet Services using various software programs; determine outsourcing needs and schedule, bill, and coordinate the delivery and pickup of these vehicles to meet customer needs; fill requests for temporary short term assigned vehicles based upon customer request and inventory; processes requests and conducts problem resolutions for Dispatch, UC Drive, UC Davis/UC Berkeley Shuttle and billing issues. Collect and analyze data to produce metrics for various aspects of vehicle utilization. Assist Vehicle Operations Manager on various projects as needed.

WORK ENVIRONMENT

  • Must possess a valid State of California driver license. Position will participate in DMV Pull Notice Program. Employee is personally responsible for following safety guidelines/procedures.
  • Work hours to be arranged which will be determined by customer and department needs and shift available.
  • Restricted vacation during peak demands. Travel to and attend meetings, trainings, or conferences that may be several days and requiring overnight stays.
  • Work alternate work schedule and overtime to meet deadlines and operational needs with little to no notice.
  • Prior approval from supervisor of vacation with minimum notice of time equivalent to amount of time requested.
  • Proper use of sick leave.

QUALIFICATIONS

Required:

Minimum Education/Experience

  • Experience in operating computer systems and various software programs such as Microsoft Office Suite (Excel, Outlook, Word, Power Point, Access).
  • Experience filling, data entry, and general typing skills to handle correspondence.
  • Experience working in a customer service environment.

Minimum Knowledge, Skills, and Abilities (KSA)

  • Skill to independently identify and rectify discrepancies in Fleet Services fuel maintenance systems and vehicle billing.
  • Ability to create written correspondence, develop spreadsheets, work with databases accurately with attention to detail.
  • Skill to train, schedule and supervise student employees.
  • Skill to communicate orally and in writing with diverse groups


Preferred:

Preferred Education/Experience

  • Experience using reservation programs and dispatching vehicles.
  • Experience using multi-line telephone system and the ability to multi-task.

Preferred Knowledge, Skills, and Abilities (KSA)


  • Knowledge of Kuali and use of applicable policies and procedures.
  • Working knowledge of current driving and safety laws.
